To receive your stipend, you will need to complete the following steps:

  1. Ensure that your bank account information is up-to-date in Workday by May 10, 2024 
  1. Respond to any emails from Harris CDO and/or Uchicago Financial Services Payment Systems and follow any instructions you receive 
  1. Review the tax implications of accepting a stipend 
  1. Update Harris Career Development if there are changes to the application information for which you have been awarded summer internship funding.  
  1. Enjoy your summer internship, reflect on your experience and complete the Internship Reflection when prompted in late September. 
  2. Workday Direct Deposit Instructions 

Go to Workday.uchicago.edu to update your bank account and mailing address for the stipend. Log in using your CNET credentials. 

Update Bank Account: On the left-hand side of the main page, click “Menu” and go to “Pay.” Select “Payment Elections” under “Actions.” 

- If there is an existing bank account: ensure that the information is up-to-date. 

- If there is no existing bank account: add an account where you would like to receive funds in the form of a direct deposit. 

If you do not update your direct deposit information by May 10, 2024 your stipend will be forfeited. 

  1. Email Correspondence 

Respond to any inquiries from the University of Chicago’s Financial Services Payment System.  Once your stipend request is submitted you will be copied on all stipend communications generated by the Service Now System . You will need to check your email regularly and attend to any necessary steps as advised by Harris Career Development and/or Financial Services. 

Ticket-related messages will come from the email address uchicago@service-now.com and Harris Career Development messages will come from HarrisCDO@uchicago.edu.  You may need to check your spam folder, depending on your email settings.

  1. Taxes 

Review the applicable sections below based on your citizenship and internship location. 

U.S. Citizens 

Please be prepared to submit Form W-9 upon request. If you have had a previous on-campus job or have received a stipend before, Financial Services might already have a copy of your W9 and they will not ask for more documents. 

U.S. Permanent Residents 

Please be prepared to submit Form W-9 upon request. In addition, you may be asked to submit a copy of your Permanent Resident or Resident Alien documentation. 

  • The stipend is not considered to be a salary and, as such, interns funded by the University do not receive W-2s. 
  • Please note that this award is considered “reportable income,” and you may need to self-report it on your tax return for the tax year of your internship payment. 
  • If filing Form 1040 or Form 1040-SR, include the taxable portion in the total amount reported on the "Wages, salaries, tips" line of your tax return. If the taxable amount wasn't reported on Form W-2, enter "SCH" along with the taxable amount in the space to the left of the "Wages, salaries, tips" line. 

International Students 

All F-1 and J-1 international students who are living in the U.S. during any portion of a calendar year are required to file tax forms with the United States Federal Government for the year in which they lived in the U.S., regardless of whether or not the student worked in the U.S., gained income in the U.S., or received a scholarship/stipend during that calendar year. 

  • You should plan to obtain work authorization before starting your internship in coordination with the UChicago Office of International Affairs. If you are not able to obtain the necessary authorization, you will have to forfeit your internship. 
  • Students on F1 visas can apply for CPT here. You can learn more about CPT here
  • Be prepared to provide the following documents upon request: Form UPP 192 and Form W-8BEN as well as copies of your I-20 or DS-2019 forms and your I-94 form. Please do not forget to check the second page of the UPP-192 form for the specific supporting documents that you will need to supply based on which visa classification you fall under. 

U.S.-Based Internship 

If the stipend is for work completed while living in the U.S., all or part of it might be considered taxable income. UChicago Payroll will withhold taxes for U.S.-based internships/work at different rates depending on current tax treaty between your country and the U.S. (treaty information can be found on the W8-BEN form). 

Outside of U.S. Internship 

Stipend payments for work completed outside of the U.S. are not taxable. No taxes will be withheld for international students with internships or work abroad. Also, scholarship stipends are not subject to withholding of income taxes, Social Security, or Medicare.

  1. Notify Harris Career Development if there are any changes to the internship information you provided. Changes may include: 
  1. Adjustments to the hours worked that would drop the total hours below 320 hours over the course of the summer 
  1. Adjustments to the supervisory check-in schedule  
  1. Adjustments to the location where your work will be conducted 
  1. Adjustments to the payment model for the internship 
  1. Selecting another internship. Even if the other internship also qualifies for funding, you must notify Harris CDO if you are electing to pursue a internship other than the one submitted as part of your application 
  1. Change in enrollment status or academic standing at Harris 
  1.

  2. Learn and Reflect 

As you conduct your summer internship, be sure to take time to reflect on what you’re learning and how you will employ these skills in your future career efforts.   

  • Remember that you are representing yourself, the Harris School of Public Policy and the University of Chicago more broadly. Be sure to conduct yourself in a professional manner at all times, including compliance with requests, due dates, and timely response to email and phone inquiries. 
  • Funding for this stipend may originate from the IOP in addition to Harris and, as such, both entities reserve the right to inform the employer partners if you are referred to the University’s Office and Discipline Committee.   

By accepting the 2024 Harris Summer Internship Fund award you are agreeing to complete the Internship Reflection that will be sent to you in September 2024.  These student reflections support Harris’s ability to continue providing financial support for students pursuing impactful, unpaid summer internships in future years.
